1. General Terms and Conditions of Registration
1.1 You must read, understand & agree to the Terms and Conditions below. It is a condition of enrolment on our courses that you accept and agree these Terms and Conditions. IF YOU DO NOT UNDERSTAND, ACCEPT OR AGREE TO ANY PART OF THESE TERMS AND CONDITIONS, YOU SHOULD NOT ENROL ON OUR COURSES.
1.2 The conditions below set out the Terms and Conditions of the relationship between you (the student) and us (The Language Gallery). YOU SHOULD ASK FOR HELP IN YOUR OWN LANGUAGE IF YOU NEED IT.
1.3 The minimum age for students at The Language Gallery is: London and Birmingham – 16 years old.
1.4 Parents of students who are under 18 must also sign the “Parental Consent Form” which can be found at /about-us/guidelines-policies
1.5 The Terms and Conditions below apply to our schools in London and Birmingham. We have separate application forms, and separate terms and conditions for schools operated by our affiliates outside the UK.

2. Payment
2.1. Payment: To book a place in a course, you must pay the full tuition fee. In cases of course cancellation or visa refusal, refer to Clauses 3 – 4.
2.2 You cannot start your course until you pay the course fees in full, once paid an Enrolment Letter will be sent to you.
2.3 For individual bookings and group bookings payment must be received prior to the beginning of the programme.
2.4 You must include your Student ID number which is on your offer letter, as a reference in ANY payment processed. It will help us with automatic payment allocation.
2.5 All fees are payable in GBP (£).If you are making a payment in another currency, you must ensure that the actual payment received by us is the correct amount in GBP after all currency exchange and bank fees.
2.6 If you pay by bank transfer, it can take up to 5 working days for payment to reach us. You must send proof of payment and use your student ID number as a reference.
2.7 We are not responsible for any international bank transfer charges/or bank payment card/cheques. You will need to settle any balances incurred due to an international bank transfer as soon as you start your course.
2.8 If you pay by cheque then it should come from a UK bank account and be made payable to the bank account stated on your invoice(s.) You must ensure that you write your unique Student ID number on the back of the cheque.
2.9 OVERDUE ACCOUNTS: We reserve the right to charge interest at 10% per annum on overdue amounts, accruing daily from the date that such payments become due.
2.9.1 DEBT RECOVERY: Please note that in relation to overdue amounts, we also reserve the right to pass this matter to our debt recovery company without further notification to you. This means that your data will be passed to our debt recovery company for further action. For the avoidance of doubt, should your data be passed to our debt recovery company in order to recover any overdue amounts, your liability to pay will be increased by additional fees and charges.
2.10 DISHONOURED PAYMENTS: We reserve the right to charge £25 for returned cheques and to report offenders to the relevant professional body and any relevant the authorities, including, but not limited to the UKVI.
2.11 DISMISSAL FOR NON-PAYMENT: We reserves the right to dismiss and expel any student at any time for the non-payment of fees. No fees will be refunded where a student is dismissed under this section.
2.12 FEES SUBJECT TO CHANGE: TLG reserves the right to change the published fees.
2.13 NO DEPOSIT ACCOUNT: Funds received but not utilised or refunded in accordance with these Terms and Conditions will be forfeited to the School.
2.14. CHANGES SUBJECT TO APPROVAL: The student agrees that he/she cannot change, defer or withdraw from the programme without prior written consent from the School. Where a student has failed to comply with this clause 2.13, they will not be eligible for a refund.
3. Cancellation and Refunds
3.1 The Language Gallery cannot give you a refund in a case of a change of mind after you start your course. You cannot, for example, reduce the number of hours you study per week and convert these into one-to-one classes. You cannot reduce the number of hours to study per day in order to lengthen the duration of your course.
3.2 All refund applications must be made at least two weeks before the course start date via the online at Refunds Portal https://refunds.thelanguagegallery.com/
3.3 If you cancel your course in writing via the Admissions Team at TLGRegistration@thelanguagegallery.com, in cases other than the visa refusal (See 4 Visa Refusals), The Language Gallery will:
3.3.1 within the cooling off period (see clause 6) – full refund minus £70
3.3.2 outside the cooling off period but before the start of the course- full refund minus £260
3.3.3 Any other cancellation made any time prior to 2 weeks of the start of the course full refund minus £70
3.3.4 any other cancellation made between the course start date and 2 weeks prior to it- full refund minus £260.
The Admissions team will then send you a link to the Refunds Portal.
3.4 Any refunds can only be made to the original payer (the person who made the payment to The Language Gallery) using the original method of payment (e.g., bank transfer, credit card). If you paid by card, you must give us the same card number for a refund to be processed.
4. Visa Refusals, Applicable Only to Student Visitor Visa (“SVV”) and Extended Student Visitor Visa (“ESVV”)
4.1 If your visa application is refused we will refund your fees, with the exception of instances outlined in 4.2. You must apply for a refund before the start date of the course, using the online Refunds Portal https://refunds.thelanguagegallery.com/.
4.2 If your visa application is refused on grounds of documents submitted were fraudulent, The Language Gallery accepts no responsibility to refund.
4.3 If your visa application is refused on the below grounds, The Language Gallery will refund full fees, minus £260 if we are notified less than 2 weeks prior to the start of the course and £70 if 2 weeks and over.
- You did not provide the necessary documents, or the documents were inadequate
- You did not demonstrate adequate financial support (maintenance)
- You applied for your visa too late
- Any other reason
4.4 In order to reduce risk of visas being rejected The Language Gallery strongly recommends getting professional advice from the local immigration consultants or reputable agents. UK Visa & Immigration (or “UKVI”) regulations are updated frequently, and while the School provides occasional general updates as a courtesy service to students, it is the student’s sole responsibility to ensure that they are familiar with the most up to date UKVI regulations. Students on a visa must familiarise themselves with UKVI regulations and at all times abide by the conditions of their visa. The School accepts no liability for incomplete or inaccurate visa applications being supplied.
4.5 If the school documents have been unsatisfactory and served as the reason for a visa refusal of the official refusal letter, the school is committed to refund in full.
4.6 DOCUMENTATION REQUIRED: Notwithstanding clause 4.3.1 (above) students intending to apply for a visa to study at the School are required to provide all relevant supporting documentation relating to previous qualifications / experience (if applicable).
4.7 DELAYS DUE TO LACK OF DOCUMENTATION: Where a student has failed to supply such documentation under clause 4.5 (above), their application may be delayed.
4.8 DOCUMENTS TO BE SUPPLIED TO UKVI: All documents supplied to the School to support a student’s visa application MUST also be sent to UKVI/The British Overseas High Commission, to support their visa application. Failure to do so may result in the student's application for a visa being refused other than in the circumstances specified under Clause 3. The School reserves the right to disclose students' details, including academic progress and attendance rates, to the UKVI.
4.9 EXPENSES INFORMATION: Please note that the average costs of living in Birmingham and London are highly competitive, and differs from area to area. Students are therefore advised to ensure that they research the area and these average costs before enrolling on any of the courses. Visa Nationals must seek guidance in relation to expenditure from the UKVI.
5. Scholarships
5.1 Recipients of scholarships or government grants are expected to pay a £260. This is refundable upon receipt of an official financial guarantee letter. If, upon the student’s arrival, the school is not in receipt of an official financial guarantee letter, we reserve the right to charge tuition at the published higher rate on a weekly basis until the guarantee letter has been provided. Scholarship students will not be allowed into class without either a guarantee letter or tuition fees paid. Any fees paid direct to the school will be refunded to the fee payer upon receipt of the guarantee letter.
6. Refund Policy - Courses Paid for Online and or Via the Telephone
This section applied only to customers purchasing the course directly from the school.
6.1 Bookings made remotely (by telephone, email, online) (except for booking in person in the school) may be cancelled within fourteen (14) days of the initial application via the Admissions Team at TLGRegistration@thelanguagegallery.com. This 14-day period is called “the cooling off period”.
6.2 If you cancel within the cooling off period, you must tell us in writing. Cancellations made by phone will not be accepted. You must keep evidence of your cancellation within the ‘cooling off period’.
6.3 For the avoidance of doubt this clause applies only if the student is not physically present at any time throughout the conclusion of the sale. Students will not be entitled to a refund if they cancel their course under this clause after the 14 day period stipulated above.
7. Deferrals
7.1 You may defer (delay) your place on a course by up to one year (52 weeks) from the start date of the course. The duration of the course may vary due to the price changes. The value of the course is deferred.
7.2 If you defer your course and then want to withdraw from the course, we will not give you a refund, except in exceptional circumstances. We will decide whether your circumstances are exceptional and our decision is final.
8. After Arrival
8.1 It is a condition of your enrolment that you provide photo ID (a Passport or ID Card) and a copy of your visa when you arrive at The Language Gallery. The Language Gallery will take copies of all relevant documents. If you do not provide us copies of your documents on enrolment, we reserve the right to cancel your registration and will not give you a refund. You are also required to give us copies of any new passport/visa documents you receive during your course. All information will be stored in accordance with the Data Protection Act (http://www.legislation.gov.uk/ukpga/1998/29).
8.2 If you have not booked accommodation through us, you should tell us your UK postal address as soon as you know it. It is also your responsibility to update us with any changes to your email address, telephone numbers or address details.
9. Holiday Policy
9.1 To comply with visa regulations, you are allowed to take holiday depending on the length of your course as detailed below.
9.2 You must request your holiday from The Language Gallery at least two weeks before you take the holiday. If you don’t request and receive our permission, your visa may be withdrawn by the Home Office. In such cases, we will not refund your fees.
9.3 The holiday allowances must be taken in blocks of 5 days, Monday to Friday, and are as follows:

9.4 You can take a maximum of four weeks’ holiday at one time.
9.5 Public Holidays: The Language Gallery is closed on public holidays and inset dates, and there are no classes on these days. If the first Monday of your course is a public holiday, your course will start on Tuesday. The Language Gallery does not give refunds or discounts when it is closed on public holidays, and you cannot make up these days on another day.

10. Attendance
10.1 ATTENDANCE COMPULSORY: Attendance for all students is COMPULSORY.
10.2 ATTENDANCE THRESHOLDS: Students must have a minimum in-class attendance rate of 85% in order to meet the requirements of their visa. Failure to adhere to the attendance requirements will lead to failure in the course and may result in expulsion from the programme. Students expelled due to poor attendance will be reported to UKVI.
10.3 You must provide a doctor’s certificate if you miss your classes for 3 days or more. We can only authorise absence from classes with a signed English medical note or valid dated letters and or appointment details.
10.4 We are required to inform the Home Office if you are frequently absent and do not provide a doctor’s certificate or other good reason. This may affect your visa status.
11. Certificates
11.1 CHANGES TO BE NOTIFIED: Students must inform the School immediately of any change in their immigration status.
11.2 You will receive a Certificate of Attendance only if you attend at least 85% of your classes; the certificate will confirm your level of study. The issuance of any certificate is subject to your compliance with these terms and conditions.
12. Conduct and Behaviour
12.1 You are expected to conduct yourself, at all times, in a manner which demonstrates respect for The Language Gallery and its staff, fellow students, members of the public and The Language Gallery’s Property. Breaches of the student code of conduct may constitute gross misconduct. You must, at all times, comply with the Student Code of Conduct which can be found on the website at /about-us/guidelines-policies.
12.2 We have the right to expel you without refund if you materially or repeatedly breach The Student Code of Conduct. Our decision is final.
12.3 We have the right to expel you if you cheat on or plagiarise your pre-arrival test, and we may report you to the relevant authorities.
12.4 By agreeing to these Terms and Conditions, you permit us to use, for marketing purposes, any images or video footage taken of you on our premises. If you do not agree to this please tell us by emailing to comments@thelanguagegallery.com including your name, nationality, date of birth and student ID number with the following subject line “Marketing Consent Opt Out”.
13. Limitation of Liability
13.1 Force Majeure: The Language Gallery, and its representatives, are not liable in cases where The Language Gallery is unable to fulfil any services to which they are contractually bound because of strikes, or other reasons that are beyond their reasonable control such as an act of God, terrorism or war.
13.2 Students’ attention is particularly drawn to the following clause: The liability of Accent Language Limited t/a The Language Gallery, London School of Business & Finance (UK) Limited, Finance and Business Training Limited, Interactive Manchester Limited, Interactive Pro Limited, Language Gallery Inc., and/or Interactive World Wide Limited (and their Group, Associated and/or Affiliated companies) for losses arising from negligence (except in the case of liability for death or personal injury), breach of contract, or otherwise, will be limited to the full amounts paid by the relevant student for the course. Except in the case of liability for death and personal injury, such companies will have NO LIABILITY FOR ANY INDIRECT OR CONSEQUENTIAL LOSS OR DAMAGE HOWEVER ARISING.
13.3 The Language Gallery does not accept any responsibility for students’ personal property; students should take out appropriate insurance. If you lose or damage any personal property during any social activity organised by The Language Gallery or booked through The Language Gallery, it is your own responsibility. The Language Gallery is not responsible for any direct, indirect, or consequential loss or damage to property incurred by any student or prospective student.
13.4 Students coming to the UK from outside the EU are very strongly advised to obtain medical insurance. The UK National Health Service is not free for most students outside the EU.
13.5 You must tell The Language Gallery on your application form about any mental or physical illness, allergy, disability or condition that may affect your ability to complete the course, or that may affect any other student, member of staff or host family. Such information will be treated in the strictest confidence.
14. Queries and Complaints
14.1 The Language Gallery’s ability to improve your experience and rectify any problems you have is limited unless you tell us immediately about any problems so we can help. Accordingly The Language Gallery reserves the right not to accept retrospective complaints or queries. During your course you can email comments@thelanguagegallery.com with any complaints or queries. The Language Gallery’s Complaints Procedure can be found at /about-us/guidelines-policies.
15. Exclusions

16.1 Course discounts are valid from the dates advertised. Discounts cannot be applied retrospectively to bookings.
16.2 You must buy or rent the correct course book for your classes. Please refer to the book rental policy stated on our pricelist.
16.3 Maintaining Academic Reputation: The Language Gallery is an accredited academic institution which is committed to maintaining and improving its reputation. Therefore, by agreeing to become a student of The Language Gallery, you must not engage in any action which might cause either your own personal academic reputation or the reputation of The Language Gallery to fall into disrepute.

19.1. For the purpose of the Data Protection Act 1998 (the Act), the data controller is The Language Gallery, 5 Southampton Place, London, WC1A 2DA. The Language Gallery shall process the personal data only in accordance with our privacy policy. In addition personal data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA") please see our Privacy Policy (/cookie-settings-privacy-policy) for further details.
20. Scheduling
20.1 The Language Gallery will make all reasonable efforts to provide you with the course you booked. In exceptional circumstances, we reserve the right to change classrooms, teachers, location, and daily schedules.
20.2 The Language Gallery has the right to close classes and courses that have very few students and offer alternative courses/schedules to a similar specification. Only when we cannot offer alternative courses/schedules to the same specification may you receive a refund for any unused fees.
20.3 We will always publicise changes and reserve the right to change published course and accommodation information, including fees (but not exceeding 10% per academic year).
20.4 The Language Gallery placement procedures are benchmarked to the Common European Framework (link). You are tested Pre-arrival and on arrival to ensure you are at the right level. We do our best to ensure you are placed according to your booking and level. We have a procedure for misplaced students on the rare occasion it happens. In the case of misplacement by us, it will be resolved swiftly. However, in cases where there has been an attrition of language since your pre-arrival test or where a placement test is suspicious or fraudulent, then, on arrival, we have the right to determine your level of English, and place you on a course that matches the level that we have determined. In such a case, this course may have fewer lessons or a different timetable to the one you have booked. In the event of such a change no refund or financial adjustments will be made. The decision will be final and no other lessons will be provided in compensation.
21. Offers

19.1. The offer is applicable to current TLG evening students. This offer is not available to the public
19.2. The discount percentage will depend on the amount of weeks booked as below:
- Book 8 weeks more and get 10% off
- Book 16 weeks more and get 15% off
- Book 24 - 32 weeks more and get 20% off
21.3. Offer is valid from 5 March to 31st December 2018
21.4. For the avoidance of doubt, the above offers will not be retrospective and students enrolled on upcoming courses who have already made their payments will not qualify for a refund of any kind

22.1 When you recommend a friend you will get 25% off, and we will also give your friend 25% off any course they book.
22.2 You will only qualify for 25% off, if your friend enrols for a course at TLG.
22.3 Offer applies to all courses and is available in London and Birmingham centres.
22.4 The 25% discount will apply to the total amount as per 2018 TLG pricelists.

Evening courses Spring Offer
25.1 Summary of Evening Courses Spring Offer - bookings made for specified 8 week Evening Courses between 2nd April 2019 and 3rd May 2019 will be eligible for a course fee of £100 (a saving of £90 in London and £75 in Birmingham) (the ‘Offer’). See below for the full terms and conditions.
25.2 The Offer is only valid for new bookings made between 2nd April 2019 until 12.00pm on 3rd May 2019. Any bookings made after this time will not be eligible for the offer or any discount.
25.3 The Offer applies to 8 week Spanish, German, French and English for Work evening courses available at TLG London and TLG Birmingham. Courses delivered at any other locations are not eligible for the Offer.
25.4 The Offer is only available for bookings made online. Payments made over the phone or otherwise will not be eligible for the Offer or any discount.
25.5 The Offer is valid for any intake (May, July, September, or November) and can be applied to multiple intakes providing that the full fees have been paid before 12.00pm on 3rd May 2019.

These Terms and Conditions should be read in conjunction with The Language Gallery UK General Terms and Conditions of Registration.

1.1 The Student requesting accommodation from The Language Gallery (or “TLG” or the “School”) must be 16 years old or over.For students who are 16 -17 year olds, please refer to section 2
1.2 Students requesting accommodation from other Group Companies must be 18 years old or over.
1.3 All accommodation requests are subject to availability. The Student will be required to provide their first and a second choice of accommodation. If the first option is unavailable, the School will try to book either the second option or find the Student alternative accomodation.
1.4 There is an Accommodation Booking Fee of GBP (£) 70 per booking. This fee must be paid for each new booking and is non-refundable.
1. 5 All the information in the brochure and the application form about prices and accommodation options are guidelines; they cannot be guaranteed and may be subject to change at any time. Any increases on the price will not exceed 10% per any academic year.
1.6 The Student must follow the student Code of Conduct which can be found at /about-us/guidelines-policies and any applicable health and safety guidelines at all times. If the Student fails to do this, they may be removed from their accommodation and charged for the entire duration of their stay as well as for any damages caused. In this instance, the Accommodation Manager has the right not to provide alternative accommodation to the Student.
1.7 If the Student causes any damage to the accommodation, they will be charged in full for the damage or any payment the School has to make on their behalf. If it is unclear who caused the damage then the costs of the damage will be shared by the students in the accommodation.
1.8 The Student is strongly advised to arrange insurance cover for their possessions. The School is not responsible for any damage, loss or theft of the Student’s property.
1.9 The Student cannot smoke in any part of student residences or homestay accommodation. The Student will be told about places where they can smoke.
1.10 The Student must tell the School of any problems with their accommodation immediately. If the School cannot find a solution to the problem, it will find you an alternative accommodation provider.
1.11 The School will provide accommodation at the published price for the duration of the course only. Any accommodation booked outside of the duration of the course, will be charged at an additional 20%.
1.12 If the Student books accommodation with the School, the Student must pay the School and not the provider.
1.13 If the Student wants to extend their stay, they must request this from the School. They must not approach the accommodation provider about accommodation extensions.
1.14 The minimum booking period is two weeks. This does not apply to residential accommodation. For further details regarding minimum booking period in residences- check our online accommodation brochure available on the School’s webpage:

1.15 The School will provide the Student with the accommodation details after the School have received the full payment. This information is provided in the Confirmation Letter. The Student must make sure they have received all the information before they enter the United Kingdom, in line with any visa regulations.
1.16 Some residences may charge extra for Council Tax at their accommodation and the Student will be responsible for the payment. This will be clearly outlined in the accommodation brochure.
2. Under 18s
2.1 Students aged 16-17 years old must only be placed in half board homestay accommodation booked by TLG. The legal guardian of any Student under the age of 18 must complete the Parental Consent Form, found online at /about-us/guidelines-policies#Information-for-16-and-17-year-olds.
2.2 Under 18 students must have a return airport transfer organised by the School.
3. Transfers
3.1 For Airport Transfer services arranged by the school:
The taxi driver will be waiting in the Arrivals Hall, holding up a sign with the Student’s name on it. The taxi pick up includes one hour waiting time; if the Student is delayed for any reason, an extra charge of £10 will be added for transfers for every extra 30 minutes. If for any reason the Student cannot see the taxi driver, he/she MUST contact the School’s Emergency telephone number provided in the Confirmation Letter. If the Student has not made contact with the driver and has not contacted the emergency phone within one hour of arrival, the driver will be released and the fees will not be refunded.
4. Payment and Confirmation
4.1 The Student must pay for accommodation services in full GBP by the date stated on the Offer Letter provided by the Admissions team. Accommodation is only confirmed once a Confirmation Letter has been issued.
4.2 If the School does not receive payment before the date given by the Accommodation Officer, the reservation will not be confirmed. In such event, the School will not be responsible if the same accommodation is no longer available.
4.3 If the Student wants to extend their stay at their accommodation, they must inform the Accommodation department at least 2 weeks before their departure date, to the email address specified in Clause 5.2. The School will try to help as much as possible, but cannot guarantee any extensions as it is subject to availability.
4.4 If the Student arrives late at the accommodation at the beginning of their stay, he/she will still have to pay the full fees, and will not get a refund.
5. Cancellations and Refunds
5.1 The Accommodation Booking Fee of GBP 70 is non-refundable.
5.2 If the Student wishes to cancel or change their accommodation, the Student must inform the Accommodation department in writing to the school email address.

5.3 The Student must provide the appropriate cancellation period as outlined on each accommodation fact sheet provided on the School’s webpage.
Cancellation notice period prior to and after start date of the booking is the following:

- 4 weeks – For all non-homestay bookings
5.4 If the Student decides to cancel or change the accommodation without providing the appropriate cancellation notice period, they will be charged accordingly and will not be entitled to a refund.
5.5 All refund applications must be made via our online refunds portal: https://refunds.thelanguagegallery.com/.
5.6 Accommodation bookings cannot be transferred from one Student to another.
6. Limitation of Liability
6.1 Students’ attention is particularly drawn to the following clause: The liability of the School, London School of Business and Finance, Inter-Active Pro Limited, Language Gallery Inc, and/or Interactive World Wide Limited (and their Group, Associated and/or Affiliated companies) for losses arising from their negligence (except in the case of liability for death or personal injury), breach of contract or otherwise will be limited to the full amounts paid by the relevant Student for the accommodation. Except in the case of liability for death and personal injury, such companies will have NO LIABILITY FOR INDIRECT OR CONSEQUENTIAL LOSS OR DAMAGE HOWEVER ARISING.
6.2 Force Majeure: The School cannot be held responsible for damage to an accommodation or failure to check-in or complete a contract with an accommodation provider due to an act of God, terrorism or war.
6.3 MAINTAINING ACADEMIC REPUTATION: The School is an accredited academic institution which is committed to maintaining and improving its reputation. Therefore, by agreeing to become a Student of the School, the Student must not engage in any action which might cause either their own personal academic reputation or the reputation of the School to fall into disrepute.
6.4 Students’ attention is particularly drawn to this section: signing the declaration constitutes full and irrevocable acceptance of these terms and conditions.

1. Enrolment
1.1 You must read, understand & agree to the Terms and Conditions below. It is a condition of enrolment on our courses that you accept and agree these Terms and Conditions. If you do not understand, accept or agree to any part of these Terms and Conditions, you should not enrol on our courses.
1.2 The conditions below set out the Terms and Conditions of the relationship between you, the student, and us, The Language Gallery. YOU SHOULD ASK FOR HELP IN YOUR OWN LANGUAGE, IF YOU NEED IT.
1.3 Parents of students who are under 18 must also sign the Parent Consent Form on the Student Application Form under “Declarations".

2. Payment
2.1 You must include your Student ID number which is on your offer letter, as a reference in ANY payment processed. It will help us with automatic payment allocation.
2.2 To book a place on a course, payment of full fees are required before you start the course. You cannot start your course until you pay the course fees in full. All fees are payable in GBP (£). If you are making a payment in another currency, it is your responsibility to ensure that the actual payment received by us is the correct amount in GBP, after all currency exchange and bank fees have been deducted.
2.3 Enrolment Letters will only be issued once we receive the full fees for your course.
2.4 If you pay by bank transfer, it can take up to 5 working days for payment to reach us. You must send proof of payment and use your student ID number as a reference.
2.5 We are not responsible for any international bank transfer charges/or bank payment card/cheques. You will need to settle any balances incurred due to an international bank transfer as soon as you start your course.
2.6 If you pay by cheque then it should be sent from a UK bank account and be made payable to the bank account stated on your invoice(s). You must ensure that you write your unique Student ID number on the back of the cheque. We reserve the right to charge £25 for returned cheques.
2.7 LATE PAYMENTS: We reserve the right to charge interest at 10% per year on late payments up until the date payment is made.
3. Courses paid for online and or via the telephone
Students may be entitled to a full refund if a course is purchased and paid for online or over the telephone; and if the School is notified (via the Admissions Team at TLGRegistration@thelanguagegallery.com) of their desire to cancel within 14 days of registration and payment of the course. For the avoidance of doubt this clause applies only if the student is not physically present at any time throughout the conclusion of the sale. Students will not be entitled to a refund if they cancel their course after the 14 day period stipulated above. A deduction for the Registration Fee of GBP 40 will be applied to any refund.
3.1 Refund Policy - Courses Paid for Online and or Via the Telephone
This section applied only to customers purchasing the course directly from the school.
6.1 Bookings made remotely (by telephone, email, online) (except for booking in person in the school) may be cancelled within fourteen (14) days of the initial application via the Admissions Team at TLGRegistration@thelanguagegallery.com. This 14-day period is called “the cooling off period”.
6.2 If you cancel within the cooling off period, you must tell us in writing. Cancellations made by phone will not be accepted. You must keep evidence of your cancellation within the ‘cooling off period’.
6.3 For the avoidance of doubt this clause applies only if the student is not physically present at any time throughout the conclusion of the sale. Students will not be entitled to a refund if they cancel their course under this clause after the 14 day period stipulated above.
4. Cancellation, Refunds & Deferrals
4.1 Once the course commencement date passes, no refunds are permissible.
4.2 Once the course commencement date passes, no course transfers are possible. E.g. you cannot reduce the number of hours you study per week and convert these into one-to-one classes, or reduce the number of hours to study per day in order to lengthen the duration of your course.
4.3 All refund applications must be made at least 15 days before the course start date via the online Refunds Portal: refunds.thelanguagegallery.com/.
4.4 Subject to Clause 3, where you cancel your course by written notification after 14 days but 30 days or more prior to the course commencement date, we will provide you with a refund of 50% of the full course fees after deducting GBP 190 (Refund Administration Fee of GBP 150 plus Registration Fee of GBP 40).
4.5 Subject to Clause 3, where you cancel your course by written notification after 14 days and less than 30 days prior to the course commencement date, we will provide you with no refund.
4.6 In the circumstances where notification under Clause 4.3 will be impossible, an application by you forms a waiver of your rights under this section. It is your responsibility to satisfy yourself that you can comply with the notification guidelines prior to making an application.
4.7 Any refunds can only be made to the original payor (the person who made the payment to The Language Gallery) using the original method of payment (e.g., bank transfer, credit card). If you paid by card, you must give us the same card details as the card used to pay in order for the refund to be processed.
4.8 Students who decide to shorten the length of the programme for any reason will not be entitled to any refund.
5. VISA Refusals
5.1 If your VISA application is refused we will refund your fees, with the exception of instances outlined in 5.2. You must comply with our notification guidelines set out in Clause 4 and apply for a refund before the start date of the course, using the online Refunds Portal: refunds.thelanguagegallery.com/.
5.2 If your visa application is refused due to reasons for which you are accountable, including but not limited to the following:
- The visa application or any documents attached to it were fraudulent;
- You did not provide the necessary documents, or the documents were inadequate;
- You did not demonstrate adequate financial support (maintenance);
- You applied for your visa too late;
the Language Gallery accepts no responsibility to refund.
5.3 Subject to Clause 4, if your refund application under clause 5.1 is approved, you will receive a full refund of course fees., (minus any courier fees), if the following documents are provided:
(1) A copy of your VISA refusal letter (APP200);
(2) A copy of your passport showing both a photograph and signature;
(3) If someone other than you paid the course fees, you must provide an original letter, written by you, which authorises The Language Gallery to refund the money to the person who paid the fees.
6. After arrival
6.1 It is a condition of your enrolment that you provide a photocopy of your photo ID (a Passport or ID card), a copy of your VISA and a copy of your parental and medical consent form when you arrive to register. If you do not provide us copies of these documents on enrolment, we reserve the right to cancel your registration and will not give you a refund. You are also required to provide us with copies of any new passport/visa documents you receive during your course. All information will be stored in accordance with the Data Protection Act. (http://www.legislation.gov.uk/ukpga/1998/29).
7. Scheduling
7.1 The Language Gallery will make all reasonable efforts to provide you with the course you booked. In exceptional circumstances we reserve the right to change classrooms, teachers, location, and daily schedules.
7.2 The Language Gallery has the right to close classes and courses that have very few students and offer alternative courses/schedules to a similar specification. Only when we cannot offer alternative courses/schedules to the same specification may you receive a refund for any unused fees.
7.3 We will always publicise changes and reserve the right to change published course and accommodation information, including fees (but not exceeding 10% per academic year)
7.4 The Language Gallery placement procedures are benchmarked to the Common European Framework (link). You are tested Pre-arrival and on arrival to ensure you are at the right level. We do our best to ensure you are placed according to your booking and level. We have a procedure for misplaced students on the rare occasion it happens. In the case of misplacement by us, it will be resolved swiftly. However, in cases where there has been an attrition of language since your pre-arrival test or where a placement test is suspicious or fraudulent, then, on arrival, we have the right to determine your level of English, and place you on a course that matches the level that we have determined. In such a case, this course may have fewer lessons or a different timetable to the one you have booked. In the event of such a change no refund or financial adjustments will be made. The decision will be final and no other lessons will be provided in compensation.
8. Certificates
9. Conduct and Behaviour
9.1 You are expected to conduct yourself, at all times, in a manner which demonstrates respect for The Language Gallery and its staff, fellow students, members of the public and The Language Gallery Property. Breaches of the student code of conduct may constitute gross misconduct.
9.2 We have the right to expel you without refund if you materially or repeatedly breach The Student Code of Conduct. Our decision is final.
9.3 By agreeing to these Terms and Conditions, you permit us to use, for marketing purposes, any images or video footage taken of you on our courses. If you do not agree to this please DO NOT tick the consent box on the Student Application Form. If you have any concern please email: tlgjuniors@thelanguagegallery.com.
10. Limitation of liability
10.1 Force Majeure: The Language Gallery, and its representatives, are not liable in cases where The Language Gallery is unable to fulfil any services to which they are contractually bound because of strikes, or other reasons that are beyond their reasonable control such as an act of God, terrorism or war.
10.2 Students’ attention is particularly drawn to the following clause: The liability of Accent Language Limited t/a The Language Gallery, London School of Business & Finance (UK) Limited, Finance and Business Training Limited, Interactive Manchester Limited, Interactive Pro Limited, Language Gallery Inc., and/or Interactive World Wide Limited (and their Group, Associated and/or Affiliated companies) for losses arising from negligence (except in the case of liability for death or personal injury), breach of contract, or otherwise, will be limited to the full amounts paid by the relevant student for the course. Except in the case of liability for death and personal injury, such companies will have NO LIABILITY FOR ANY INDIRECT OR CONSEQUENTIAL LOSS OR DAMAGE HOWEVER ARISING.
10.3 The Language Gallery does not accept any responsibility for students’ personal property; students should take out appropriate insurance. If you lose or damage any personal property during any social activity organised by The Language Gallery or booked through The Language Gallery, it is your own responsibility. The Language Gallery is not responsible for any direct, indirect, or consequential loss or damage to property incurred by any student or prospective student.
10.4 Students coming to the UK from outside the EU are very strongly advised to obtain medical insurance. The UK National Health Service is not free for most students outside the EU.
10.5 You must tell The Language Gallery on your application form about any mental or physical illness, allergy, disability or condition that may affect your ability to complete the course, or that may affect any other student, member of staff or host family. Refer to the Student Health Form.
11. Queries and Complaints
11.1 The Language Gallery’s ability to improve your experience and rectify any problems you have is limited unless you tell us immediately about any problems so we can help. Accordingly The Language Gallery reserves the right not to accept retrospective complaints or queries. During your course you can email tlgjuniors@thelanguagegallery.com with any complaints or queries.
12. Other
12.1 The minimum age of students at the TLG Juniors Programmes is 12 years old
12.2 The maximum age of the students at the TLG Juniors Programmes is 17 years old at the date of their departure.
12.3 Course discounts are valid from the dates advertised. Discounts cannot be applied retrospectively to bookings.

15.1 Summary of Junior Easter Offer - bookings made for specified TLG Juniors Programmes between 1st April and 30th April 2019 will be eligible for a 15% discount (the ‘Offer’). See below for the full terms and conditions.
15.2 The Offer is only valid for new bookings made between 1st April 2019 until 30th April 2019. Any bookings made after 30 April 2019 will not be eligible for the Offer or any discount.
15.3 The Offer applies to all junior programmes available at TLG London. Programmes operating at any other locations are not eligible for the Offer.
15.4 For the avoidance of doubt, the Offer will not apply for students that have already registered and received an offer letter.
15.5 The Offer does not apply to airport transfers.

1.1 To register for a course, you must pay the full tuition fee in advance.
1.1.1 For individual bookings and group bookings, payment must be received prior to the beginning of the program, otherwise, you are not guaranteed a spot in the course.
1.1.2 You cannot start your course until any outstanding fees are paid in full.
1.2 Once paid, an Enrolment Letter will be sent to you. In the event of Study Permit/Visa refusal or your wish to withdraw from the course, please refer to Sections 2 and 3.

1.8 OVERDUE ACCOUNTS: We reserve the right to charge interest at 10% per annum on overdue amounts, accruing daily from the date that such payments become due.
1.8.1 DEBT RECOVERY: Please note that in relation to overdue amounts, we also reserve the right to pass this matter to our debt recovery company without further notification to you. This means that your data will be passed to our debt recovery company for further action. For the avoidance of doubt, should your data be passed to our debt recovery company in order to recover any overdue amounts, your liability to pay will be increased by additional fees and charges.
1.9 DISHONOURED PAYMENTS: We reserve the right to charge $50 or returned cheques and to report offenders to relevant the authorities.
1.10 DISMISSAL FOR NON-PAYMENT: We reserve the right to dismiss and expel any student at any time for the non-payment of fees. No fees will be refunded where a student is dismissed under this section.
1.11 FEES SUBJECT TO CHANGE: TLG reserves the right to change the published fees.
1.12 CHANGES SUBJECT TO APPROVAL: The student agrees that he/she cannot change, defer or withdraw from the program without the prior written consent from the School. For refund information please refer to sections 2, 3 and 4.
You cannot reduce the number of hours you study per week and convert these into one-to-one classes. You cannot reduce the number of hours to study per day in order to lengthen the duration of your course.
Refund Policy
2.1 All refund applications for cancellations prior to arrival must be made via the online Refunds Portal https://refunds.thelanguagegallery.com/.
2.2 To cancel your course in cases other than visa or study permit refusal you must inform the Admissions Team in writing at torontoadmissions@thelanguagegallery.com.The Admissions team will then send you a link to the Refunds Portal (see section 2.1 for link).
2.3 Any refunds can only be made to the original payor (the person who made the payment to TLG) using the original method of payment (e.g., bank transfer, credit card). If you paid by credit card, you must give us the same card number for a refund to be processed.
Visitor Visa or Study Permit Refusals
3.1 If your Visitor Visa or study permit application is refused or your entry to Canada is denied, we will refund your fees, with exception of instances outlined in 4.2.
3.2 If the Visa application is refused on grounds that a student submitted documents that were fraudulent – The Language Gallery accepts no responsibility to refund.
3.3 If your Visa is refused, TLG will refund full fees, less an administrative charge of $120. Visa refusal letter is required as proof.
3.4 In order to reduce the risk of your Visa application being rejected, TLG strongly recommends you obtain local professional advice from qualified immigration consultants. You may wish to ensure that the immigration consultant you choose is registered as a Regulated International Student Immigration Advisor with the Immigration Consultants of Canada Regulatory Council (https://iccrc-crcic.ca/find-a-professional/). While TLG provides occasional general updates as a courtesy service to students, it is the student’s sole responsibility to ensure that they are familiar with Canada’s International Student Program and the most recent requirements for Visitor Visas or Study Permits. Students must at all times abide by any conditions of their Visa. TLG accepts no liability for incomplete or inaccurate Visitor Visa or Study Permit applications.
3.5 If the school documents have been unsatisfactory and served as the reason for Visitor Visa or Study Permit refusal in the official refusal letter, TLG is committed to providing a refund in full.
3.6 DOCUMENTS TO BE SUPPLIED TO CIC: TLG may be required by law to disclose students' details, including academic progress and attendance rates, to relevant authorities. Hence, the student bears all responsibility for ensuring that documents supplied to TLG to support a student’s travel documents are identical to the ones sent to the relevant Canadian authorities.

Cancellation Policy
4.1. Bookings may be cancelled within fourteen (14) days of the initial registration application. This 14-day period is called the cooling-off period. Within the cooling off period the student will be eligible for full refund less the registration fee of $120 Canadian dollars.
4.2 Any cancellation must be done in writing to the Admissions Team at torontoadmissions@thelanguagegallery.com within the cooling-off period. Cancellations made by phone will not be accepted.
You must keep evidence of your cancellation fee within the cooling-off period.
4.3 After the 14 day cooling-off period, the cancellation policy is as follows:

Deferrals
5.1 You may defer (delay) starting your course, and we will hold your admission to TLG to the same or similar course for up to one year (52 weeks) from the original start date of the course. Students must understand that the course they selected one year may not be identical to the one offered the following year, or that the duration of the course may vary, due to price changes. The tuition fees paid for the initial course are a credit towards the following year’s course.
5.2 If you defer starting your course and then wish to withdraw entirely from the course, cancellation policy applies. See section 4.
5.3. If you exceed 50 weeks of the deferral, you must cancel your course and re-apply. In case of cancelation please see sections 4.
After arrival
6.1 It is a condition of your enrolment that you provide photo ID (a Passport or ID card) and a copy of your Visitor Visa or Study Permit. TLG will take copies of all relevant documents. If you do not provide us copies of your documents on enrolment, we reserve the right to cancel your registration and will not give you a refund. You are also required to give us copies of any new passport/study permit documents you receive during your course. Your personal information will only be collected, used, disclosed and retained by TLG for the purposes of your registration as a student in our classes, and in strict compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and the Digital Privacy Act, applicablein Ontario. 6.2 If you have not booked accommodation through us, you inform us of your Canadian residential and/or postal address as soon as you know it. It is also your responsibility to update us with any changes to your contact information, including residence address, email address, telephone numbers, etc.
Holiday and Vacation Policy
7.1 To comply with your obligation to actively pursue your program of study, permitted vacation time depends on the length of your course as detailed below.
7.2 You must request your vacation from The Language Gallery at least two weeks before you take the vacation. If you do not request and receive our permission, CIC may consider that you are not actively pursuing your studies. In such cases we will not refund your fees.
7.3 The holiday allowances must be taken in blocks of 5 days, Monday to Friday, and are as follows:

7.4 You can take a maximum of four weeks’ vacation during a 52-week period and at any one time.
7.5 You are discouraged from taking any vacation during class time. See Attendance below. You are expected to be punctual and attend all classes, except in the case of illness or for other unavoidable reasons. Frequent absence for other than medical reasons may affect your performance in class as well as violate the conditions of your Study Permit.

If the first Monday of your course is a public holiday, your course will start on Tuesday. TLG does not give refunds or discounts when it is closed on public holidays, and you cannot make up these days on another day.
Attendance
8.1 Attendance for all students is COMPULSORY.
8.2 ATTENDANCE THRESHOLDS: Students are required to have a minimum in-class attendance rate of 80%. Failure to adhere to the attendance requirements will lead to failure in the course and may result in expulsion from the Program. Students expelled due to poor attendance will be reported to CIC.
8.3 You must provide a doctor’s certificate if you miss your classes for 3 days or more. We can only authorise absence from classes with a signed medical note or valid dated letters and or appointment details.
8.4 We are required to inform CIC if you are frequently absent and do not provide a doctor’s certificate or other good reason. This may affect your Study Permit status.
Certificates
9.1 CHANGES TO BE NOTIFIED: Students must inform the School immediately of any change in their immigration status.
9.2 You will receive a Certificate of Attendance only if you have attended not less than 80% of your classes; the certificate will confirm your level of study.
9.3The issuance of any certificate is subject to your compliance with these terms and conditions.
Scholarships
10.1 Recipients of scholarships or government grants shall pay a non-refundable registration fee.
10.2. TLG reserves the right to charge the usual tuition on a weekly basis if no formal financial guarantee letter is received prior to the student’s arrival. Once the formal financial guarantee letter is received for the dates studied already with TLG, the initial fee and any weekly tuition paid will be reimbursed to the student (or the payor of the tuition on the student’s behalf). Scholarship students may only start classes after TLG has received a financial guarantee letter or tuition fees paid.
10.1 Recipients of scholarships or government grants shall pay a non-refundable registration fee.

Conduct and Behaviour
11.1 You are expected to conduct yourself, at all times, in a manner which demonstrates respect for TLG and its staff, fellow students, members of the public and TLG’s property. Breaches of the Student Code of Conduct may constitute gross misconduct. You must, at all times, comply with the Student Code of Conduct which can be found on the website at /about-us/guidelines-policies.
11.2 We have the right to expel you without refund if you materially or repeatedly breach the Student Code of Conduct. Our decision is final.
11.3 We have the right to expel you if you cheat on or plagiarize your pre-arrival test, and we may report you to the relevant authorities.
11.4 By agreeing to these Terms and Conditions, you permit us to use, for marketing purposes, any images or video footage taken of you on our premises. If you do not agree to this, please tell us by emailing to comments@thelanguagegallery.com including your name, date of birth and student ID number with the following subject line “Marketing Consent Opt Out”.
Limitation of liability
12.1 Force Majeure: The Language Gallery, and its representatives, are not liable if The Language Gallery is unable to fulfil any services to which they are contractually bound because of strikes, or other reasons that are beyond their reasonable control such as an act of God, terrorism or war.
12.2 Students’ attention is particularly drawn to the following clause: The liability of Accent Language Limited t/a The Language Gallery, London School of Business & Finance (UK) Limited, Finance and Business Training Limited, Interactive Manchester Limited, Interactive Pro Limited, Language Gallery Inc., and/or Interactive World Wide Limited (and their Group, Associated and/or Affiliated companies) for losses arising from negligence (except in the case of liability for death or personal injury), breach of contract, or otherwise, will be limited to the full amounts paid by the relevant student for the course. Except in the case of liability for death and personal injury, and to the maximum extent permitted by applicable law, such companies will have NO LIABILITY FOR ANY OTHER DIRECT, INDIRECT OR CONSEQUENTIAL LOSS OR DAMAGE HOWEVER ARISING.
12.3 TLG does not accept any responsibility for students’ personal property; students should take out appropriate insurance. If you lose or damage any personal property during any social activity organised by TLG or booked through TLG, it is your own responsibility. TLG is not responsible for any direct, indirect, or consequential loss or damage to property incurred by any student or prospective student.
12.4 Students coming to Canada are very strongly advised to obtain private medical insurance.
12.5 You must tell TLG on your application form about any mental or physical restrictions or limitations that may affect your ability to complete the course, or that may affect any other student, member of staff or host family. Such information will be treated in the strictest confidence.
Queries and Complaints
13.1 TLG’s ability to improve your experience and rectify any problems you have is limited unless you tell us immediately about any problems so we can help. TLG reserves the right not to accept retrospective complaints or queries. During your course you can email comments@thelanguagegallery.com with any complaints or queries. TLG’s Complaints Procedure can be found at /about-us/guidelines-policies.

15.1 Course discounts are valid from the dates advertised. Discounts cannot be applied retroactively to bookings.
15.2 You must buy or rent the correct course book for your classes. Please refer to the book rental policy stated on our pricelist.
15.3 Maintaining Academic Reputation: TLG’s language programs are accredited by Languages Canada (http://languagescanada.ca/en/). TLG is committed to maintaining and improving its reputation.[1] Therefore, by agreeing to become a student of TLG, You must not engage in any action which might cause either your own personal academic reputation or the reputation of TLG to fall into disrepute.

General Accomodation
1.1 The Student requesting accommodation from TLG must be 16 years old or over. For students who are 16 -17 year olds, please refer to section 2
1.2 Students requesting accommodation from other Global University Systems’ colleges must be 18 years old or over.
1.3 All accommodation requests are subject to availability. The Student will be required to provide their first and a second choice of accommodation. If the first option is unavailable, the School will try to book either the second option or find the Student alternative accommodation.
1.4 There is an Accommodation Booking Fee of $250 per booking. This administrative fee must be paid for each new booking and is non-refundable.
1.5 All the information in the brochure and the application form about prices and accommodation options are guidelines; they cannot be guaranteed and may be subject to change at any time. Any increases on the price will not exceed 10% per any academic year.
1.6 The Student must follow the student Code of Conduct, which can be found at /about-us/guidelines-policies, homestay guide and any health and safety guidelines at all times. If the Student fails to do this, they may be removed from their accommodation and charged for the entire duration of their stay. In this instance, the Accommodation Manager has the right not to provide alternative accommodation to the Student.
1.7 If the Student causes any damage to the accommodation, they will be charged in full for the damage or any payment the School has to make on their behalf. If it is unclear who caused the damage, then the costs of the damage will be shared by the students in the accommodation.
1.8 The Student is strongly advised to arrange insurance cover for their possessions. The School is not responsible for any damage, loss or theft of the Student’s property.
1.9 The Student cannot smoke in any part of student residences or homestay accommodation. The Student will be told about places where they can smoke.
1.10The Student must tell the School of any problems with their accommodation immediately. If the School cannot find a solution to the problem, it will find you an alternative accommodation provider.
1.11 The School will not provide accommodation for more than 1 week outside of the duration of the course. Only students of The Language Gallery are permitted in Language Gallery accommodations.
1.12 If the Student books accommodation with the School, the Student must pay the School and not the provider for all accommodation services, including any extensions.
1.13 If the Student wants to extend their stay, they must request this from the School at least 2 weeks prior to their current end date. They must not approach the accommodation provider about accommodation extensions.
1.14 The minimum homestay booking period is two weeks. This does not apply to student residence accommodation. For further details regarding minimum booking period in residences, check our online accommodation brochure available on the School’s webpage.
1.15 The School will provide the Student with the accommodation details approximately 5 – 10 days after the School has received the full payment. The time in which the School receives accommodation details may vary depending on availability period. This information is in the Confirmation Letter. The Student must make sure they have received all the information before coming to Canada, in line with study permit processing requirements. See: http://www.cic.gc.ca/english/study/study.asp
Under 18s
2.1 Students aged 16-17 years old will only be placed in full board homestay accommodation booked by TLG. The legal guardian of any Student under the age of 18 must complete the Parental Consent Form, found online at /about-us/guidelines-policies
2.2 Students under 18 years old must have a return airport transfer organized by the School.
Transfers
3.1. For Airport Transfer services arranged by the school: The taxi driver will be waiting in the Arrivals area, holding up a sign with the TLG Logo and Student’s name on it. The taxi pick up includes 1.5 hour waiting time; if the Student is delayed longer than the required wait time, the driver will leave the airport. If for any reason the Student cannot see the transfer driver, he/she MUST contact the driver or the School’s Emergency telephone number provided in the Confirmation Letter. If the Student arrives and does not see the driver and has not made contact with the driver or the emergency telephone, the fees will not be refunded.
Payment & Confirmation
4.1 The Student must pay for accommodation services in full by the date stated in the Accommodation Offer Letter provided by the Accommodation Officer. Accommodation is only confirmed once a Confirmation Letter has been issued.
4.2 If the School does not receive payment before the date given by the Accommodation Officer, the reservation is not confirmed. In such event, the School will not be responsible if the same accommodation is no longer available.
4.3 If the Student wants to extend their stay at their accommodation, they must inform the accommodation department at least 2 weeks before their departure date. The School will try to help as much as possible, but cannot guarantee any extensions as it is subject to availability.
4.4 If the Student arrives late at the accommodation at the beginning of their stay, he/she will still have to pay the full fees, and will not get a refund.
Cancellations & Refunds
5.1 The Accommodation Booking Fee of $250 is non-refundable.
5.2 If the Student wishes to cancel or change their accommodation after arrival, the Student must inform the Accommodation department in writing to the school email address. AccommodationsTO@thelanguagegallery.com. Changes may take up to 2 weeks to be confirmed. Cancellations may result in extra fees.
5.3 The Student must provide the appropriate cancellation period as outlined on each accommodation fact sheet provided on the School’s webpage.
The cancellation notice period prior to arrival is the following:
- 4 weeks – Homestay
- 3 weeks – For all non-homestay bookings
The cancellation notice period after Arrival is the following:
- 2 weeks – Homestay
- 3 weeks – For all non-homestay bookings
5.4 If the Student decides to cancel or change the accommodation without providing the appropriate written cancellation notice, they will be charged accordingly and will not be entitled to a refund.
5.5 All refund applications must be made via our online refunds portal: https://refunds.thelanguagegallery.com
5.6 Refunds can take a minimum of 60 days to be processed.
5.7 Accommodation bookings cannot be transferred from one Student to another.

Therefore, by agreeing to become a Student of the School, the Student must not engage in any action which might cause either their own personal academic reputation or the reputation of the School to fall into disrepute.

Payment
1.1 To register for a course, you must pay the full tuition fee in advance of your course start date. You cannot start your course, and we cannot guarantee you a place on your preferred course, until all outstanding fees are paid in full.
1.2 Once paid, an Enrolment Letter will be sent to you. In the event of Study Permit/Visa refusal or your wish to withdraw from the course, please refer to Sections 2 and 3.
1.3 You must include your Student ID number, provided to you in the offer letter, as a reference in ANY payment processed. It will help us with automatic payment allocation.
1.4 All fees are payable in Canadian dollars. If you are making a payment in another currency, you must ensure that the actual payment received by us is the correct amount in Canadian dollars, after all currency exchange and bank fees.
1.5 If you pay by bank transfer, it can take up to 5 working days for payment to reach us. You must send proof of payment to us as soon as the payment is made and use your student ID number as a reference.
1.6 We are not responsible for any international bank transfer charges/or bank payment card/cheques. You will need to settle any balances incurred due to an international bank transfer on the earlier of your course start date and your enrolment date.
1.7 If you pay by cheque, it should come from a Canadian bank account and be made payable to the bank account stated on your invoice(s.) You must ensure that you write your unique Student ID number on the back of the cheque.
1.8 OVERDUE ACCOUNTS: We reserve the right to charge interest at 10% per annum on overdue amounts, accruing daily from the date that such payments become due.
1.8.1 DEBT RECOVERY: Please note that in relation to overdue amounts, we also reserve the right to pass this matter to our debt recovery company without further notification to you. This means that your data will be passed to our debt recovery company for further action. For the avoidance of doubt, should your data be passed to our debt recovery company in order to recover any overdue amounts, your liability to pay will be increased by additional fees and charges.
1.9 DISHONOURED PAYMENTS: We reserve the right to charge $50 on returned cheques and to report offenders to relevant the authorities.
1.10 DISMISSAL FOR NON-PAYMENT: We reserve the right to dismiss and expel any student at any time for the non-payment of fees. No fees will be refunded where a student is dismissed under this section.
1.11 FEES SUBJECT TO CHANGE: TLG reserves the right to change the published fees.
1.12 CHANGES SUBJECT TO APPROVAL: The student agrees that he/she cannot change, defer or withdraw from the program without the prior written consent from the School. For refund information please refer to sections 2, 3 and 4.
You cannot reduce the number of hours you study per week and convert these into one-to- one classes. You cannot reduce the number of hours to study per day in order to lengthen the duration of your course.
Refund Policy
2.1 All refund applications for cancellations prior to your course start date must be made via the online
Refunds Portal https://refunds.thelanguagegallery.com/.
2.2 To cancel your course in cases other than visa or study permit refusal you must inform the Admissions Team in writing at canadaadmissions@thelanguagegallery.com. The Admissions team will then send you a link to the Refunds Portal (see section 2.1 for link).
2.3 Any refunds can only be made to the original payor (the person who made the payment to TLG) using the original method of payment (e.g., bank transfer, credit card). If you paid by credit card, you must give us the same card number for a refund to be processed.
Visitor Visa or Study Permit Refusals
3.1 If your Visitor Visa or study permit application is refused or your entry to Canada is denied, we will refund your fees, with exception of instances outlined in 4.2.
3.2 If the Visa application is refused on grounds that a student submitted documents that were fraudulent – The Language Gallery accepts no responsibility to refund.
3.3 If your Visa is refused, TLG will refund full fees, less an administrative charge of $120. Visa refusal letter is required as proof.
3.4 In order to reduce the risk of your Visa application being rejected, TLG strongly recommends you obtain local professional advice from qualified immigration consultants. You may wish to ensure that the immigration consultant you choose is registered as a Regulated International Student Immigration Advisor with the Immigration Consultants of Canada Regulatory Council (https://www.iccrc-crcic.ca/AboutUs.cfm). While TLG provides occasional general updates as a courtesy service to students, it is the student’s sole responsibility to ensure that they are familiar with Canada’s International Student Program and the most recent requirements for Visitor Visas or Study Permits. Students must at all times abide by any conditions of their Visa. TLG accepts no liability for incomplete or inaccurate Visitor Visa or Study Permit applications.
3.5 If the school documents have been unsatisfactory and served as the reason for Visitor Visa or Study Permit refusal in the official refusal letter, TLG is committed to providing a refund in full.
3.6 DOCUMENTS TO BE SUPPLIED TO CITIZENSHIP AND IMMIGRATION CANADA (CIC): TLG may be required by law to disclose students' details, including academic progress and attendance rates, to relevant authorities. Hence, the student bears all responsibility for ensuring that documents supplied to TLG to support a student’s travel documents are identical to the ones sent to the relevant Canadian authorities.

Cancellation Policy
4.1. Bookings may be cancelled within fourteen (14) days of the initial registration application. This 14-day period is called the cooling-off period. Within the cooling off period
the student will be eligible for full refund less the registration fee of $120 Canadian dollars.
4.2 Any notice of cancellation must be sent in writing to the Admissions Team
at canadaadmissions@thelanguagegallery.com within the cooling-off period. Cancellations made by phone will not be accepted.
4.3 After the 14 day cooling-off period, the cancellation policy is as follows:

Deferrals
5.1 You may defer (delay) starting your course, and we will hold your admission to TLG to the same or similar course for up to one year (52 weeks) from the original start date of the course. Students must understand that the course they selected one year may not be identical to the one offered the following year, or that the duration of the course may vary, due to price changes. The tuition fees paid for the initial course are a credit towards the following year’s course.
5.2 If you defer starting your course and then wish to withdraw entirely from the course, cancellation policy applies. See section 4.
5.3. If you exceed 52 weeks of the deferral, you must cancel your course and re-apply. In case of cancelation please see sections 4.
After arrival
6.1 It is a condition of your enrolment that you provide photo ID (a Passport or ID card) and a copy of your Visitor Visa or Study Permit. TLG will take copies of all relevant documents. If you do not provide us copies of your documents on enrolment, we reserve the right to cancel your registration and will not give you a refund. You are also required to give us copies of any new passport/study permit documents you receive during your course. Your personal information will only be collected, used, disclosed and retained by TLG for the purposes of your registration as a student in our classes, and in strict compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and the Digital Privacy Act. 6.2 If you have not booked accommodation through us, you must inform us of your Canadian residential and/or postal address as soon as you know it. It is also your responsibility to update us with any changes to your contact information, including residence address, email address, telephone numbers, etc.
Attendance
7.1 Attendance for all students is COMPULSORY.
7.2 You are expected to be punctual and attend all classes, except in the case of illness or for other unavoidable reasons. Frequent absence for other than medical reasons may affect your performance in class as well as violate the conditions of your Study Permit.
7.3 ATTENDANCE THRESHOLDS: Students are required to have a minimum in-class attendance rate of 80%. Failure to adhere to the attendance requirements will lead to failure in the course and may result in expulsion from the Program. Students expelled due to poor attendance will be reported to CIC and will not be eligible for a refund.
7.4 You must provide a doctor’s certificate if you miss your classes for 3 days or more. We can only authorise absence from classes with a signed medical note or valid dated letters and or appointment details.
7.5 We are required to inform CIC if you are frequently absent and do not provide a doctor’s certificate or other good reason. This may affect your Study Permit status.
Holiday and Vacation Policy
8.1 To comply with your obligation to actively pursue your program of study, permitted vacation time depends on the length of your course as detailed below.
8.2 You must request your vacation from The Language Gallery at least two weeks before you take the vacation. You acknowledge that if you do not request and receive our permission, CIC may consider that you are not actively pursuing your studies and you may be expelled due to poor attendance in accordance with clause 7.3 above. No refunds of fees will be payable in such cases of expulsion nor in respect of permitted vacation time.
8.3 The holiday allowances must be taken in blocks of 5 days, Monday to Friday, and are as follows:

8.4 You can take a maximum of four weeks’ vacation during a 52-week period and at any one time.

If the first Monday of your course is a public holiday, your course will start on Tuesday. TLG does not give refunds or discounts when it is closed on public holidays, and you cannot make up these days on another day.
Certificates
9.1 CHANGES TO BE NOTIFIED: Students must inform the School immediately of any change in their immigration status.
9.2 You will receive a Certificate of Attendance only if you have attended not less than 80% of your classes; the certificate will confirm your level of study.
9.3The issuance of any certificate is subject to your compliance with these terms and conditions.
Scholarships
10.1 Recipients of scholarships or government grants shall pay a non-refundable registration fee.
10.2. TLG reserves the right to charge the usual tuition on a weekly basis if no formal financial guarantee letter is received prior to the student’s course start date. Once the formal financial guarantee letter is received for the dates studied already with TLG, the initial fee and any weekly tuition paid will be reimbursed to the student (or the payor of the tuition on the student’s behalf). Scholarship students may only start classes after TLG has received a financial guarantee letter or tuition fees paid.
Conduct and Behaviour
11.1 You are expected to conduct yourself, at all times, in a manner which demonstrates respect for TLG and its staff, fellow students, members of the public and TLG’s property. Breaches of the Student Code of Conduct may constitute gross misconduct. You must, at all times, comply with the Student Code of Conduct which can be found on the website at /about-us/guidelines-policies.
11.2 We have the right to expel you without refund if you materially or repeatedly breach the Student Code of Conduct. Our decision is final.
11.3 We have the right to expel you if you cheat on or plagiarize your pre-arrival test, and we may report you to the relevant authorities.
11.4 By agreeing to these Terms and Conditions, you permit us to use, for marketing purposes, any images or video footage taken of you on our premises. If you do not agree to this, please tell us by email to comments@thelanguagegallery.com including your name, date of birth and student ID number with the following subject line “Marketing Consent Opt Out”.
Limitation of liability
12.1 Force Majeure: The Language Gallery, and its representatives, are not liable if The Language Gallery is unable to fulfil any services to which they are contractually bound because of strikes, or other reasons that are beyond their reasonable control such as an act of God, terrorism or war.
12.2 Students’ attention is particularly drawn to the following clause: The liability of Accent Language Limited t/a The Language Gallery, London School of Business & Finance (UK) Limited, Finance and Business Training Limited, Interactive Manchester Limited, Interactive Pro Limited, Language Gallery Inc., and/or Interactive World Wide Limited (and their Group, Associated and/or Affiliated companies) for losses arising from negligence (except in the case of liability for death or personal injury), breach of contract, or otherwise, will be limited to the full amounts paid by the relevant student for the course. Except in the case of liability for death and personal injury, and to the maximum extent permitted by applicable law, such companies will have NO LIABILITY FOR ANY OTHER DIRECT, INDIRECT OR CONSEQUENTIAL LOSS OR DAMAGE HOWEVER ARISING.
12.3 TLG does not accept any responsibility for students’ personal property; students should take out appropriate insurance. If you lose or damage any personal property during any social activity organised by TLG or booked through TLG, it is your own responsibility. TLG is not responsible for any direct, indirect, or consequential loss or damage to property incurred by any student or prospective student.
12.4 Students coming to Canada are very strongly advised to obtain private medical insurance.
12.5 You must tell TLG on your application form about any mental or physical restrictions or limitations that may affect your ability to complete the course, or that may affect any other student, member of staff or host family. Such information will be treated in the strictest confidence.
Queries and Complaints
13.1 TLG’s ability to improve your experience and rectify any problems you have is limited unless you tell us immediately about any problems so we can help. TLG reserves the right not to accept or respond to retrospective complaints or queries. During your course you can e-mail comments@thelanguagegallery.com with any complaints or queries.
